Preparing decisions and committees with management prompt templates
This booklet brings together six management prompt templates for generative artificial intelligence assistants. Each template specifies its use, the data not to be entered and the level of human verification required. The booklet thus serves to prepare a decision, a committee meeting or a discussion without exposing confidential information. It is an extract from the library of prompt templates by function.

What the booklet of management prompt templates contains
- The common rules: no-entry instruction, neutral placeholders instead of identifying details and three levels of human verification.
- “Preparing a decision note”: context, three options, advantages and disadvantages, selection criteria, with no proposed final choice.
- “Preparing a committee agenda”: objective, allotted time, preparatory document and expected decision for each item.
- “Preparing questions for an interview” with a partner, a funder or a candidate, then “Summarising a public document”.
- “Identifying the risks of a project” by category, with a warning sign and a preventive measure for each.
- Finally, “Rephrasing a sensitive message” in a chosen register, without changing the substance or adding any commitment.
When to use the booklet
The booklet is used when an executive prepares a decision, a management committee meeting or a discussion with a partner. It is also used to summarise a published study, then to draw up an initial list of the risks of a project. Moreover, it frames the rephrasing of an internal or external message with a delicate tone. It is aimed in particular at executives and members of management committees.
Instructions for use
First, the appropriate template is copied into the AI assistant. Next, each item in square brackets, such as [type of organisation] or [subject], receives anonymised information. Then length and format are adjusted to the need. Finally, the indicated verification level applies. The decision note and the sensitive message thus require validation by a competent and authorised person.
Expected outcome
The management prompt templates thus deliver a first draft: note, agenda, summary or list of risks. This draft remains a working document. The final decision indeed remains with management, after the planned verification.

Good and bad practices for generative AI at work
Good practices for generative AI at work come down to a few rules applicable to any tool. They thus precede the adoption of a use charter specific to the organisation.
