Managing the prospecting, invoicing and cash flow of a small business

The management kit links prospecting, invoicing and cash flow in a single file, from opportunity to collection. It thus tracks ongoing deals, quotes issued, invoices and payments received. It also includes planned cash outflows. A twelve-month monthly forecast then makes it possible to anticipate cash shortfalls before they halt the business.

What the management kit contains

  • A Settings tab: currency, start month, tax rate, payment terms, opening cash balance and numbering prefix.
  • Opportunities and Quotes tabs: weighted amount, follow-up date, validity and status of quotes.
  • An Invoices tab with continuous chronological numbering, showing balance, status and days overdue.
  • A Collections tab, where each payment received is linked to the invoice number.
  • A Cash Flow tab: twelve-month forecast, outflows by item, net flow and closing cash balance.
  • A read-only dashboard: revenue, outstanding customer receivables, ageing of receivables and quote conversion rate.

When to track invoicing and cash flow with the kit

The kit is intended, in particular, for very small businesses, SMEs, professional firms and freelancers. It serves first to track, in a single file, the sales cycle of a small business. It then highlights the follow-ups required on opportunities and overdue receivables. In addition, the monthly forecast shows the projected cash balance for each month.

Instructions for use

The user first fills in the workbook settings. The user then enters opportunities and quotes, with probability and follow-up date. Next, the user records invoices with continuous numbering, together with payments received. The user also enters planned outflows in the Cash Flow tab. Finally, the user reads the dashboard: revenue, collections, outstanding amounts and overdue receivables by age.

Expected outcome

The workbook thus produces a monthly view of invoiced and collected business. It also draws up the list of follow-ups to be carried out. In addition, it shows the projected balance over twelve months and therefore brings invoicing and cash flow together in a single reading.
