Designing a training workshop sheet and its administrative plan

The training workshop sheet sets out, before the session, what participants will be able to do and how they will get there. It comes with an administrative plan that organises logistics, contractual commitments and supporting documents. The two templates complement each other; they are then kept in the action file, from the agreement to the evaluation.

What the training workshop sheet contains

  • Workshop sheet: title, target audience and prerequisites, minimum and maximum group size, duration and general objective.
  • Operational objectives, then the outline by sequence, with duration, method and medium.
  • Role play or application exercise, materials handed out, methods for assessing learning, equipment and room set-up.
  • Eleven-point administrative plan: validated proposal, agreement or purchase order, funding application file, invitations, bookings.
  • Also, monitoring of the action: attendance sheets per half-day, immediate evaluation, certificates, report to the commissioning party and invoice.
  • Finally, a review (attendees and registrants, satisfaction, achievement of objectives), notes for use and Moroccan and international references.

When to use the template

The template comes into play as soon as a workshop is designed, before the proposal is sent to the commissioning party. It then serves for the logistical and contractual preparation of the session. In addition, it structures the file when a funding body requires supporting documents. Indeed, an action funded by a public continuing training scheme is subject to its own list of documents and filing deadlines. It is intended, in particular, for training managers, training organisations and associations that run workshops.

Instructions for use

First, the training workshop sheet is completed on the basis of the topic and the audience. The operational objectives are then worded with observable verbs: to draft, to calculate, to apply, to conduct. Next, the outline is divided into sequences, each with its duration, method and medium. The administrative plan is then ticked off as preparation progresses, from the proposal to the invoice. Finally, the review is completed after the session.

Expected outcome

The outcome is a complete and traceable action file. It thus brings together a teaching sheet with verifiable objectives, an administrative plan followed point by point and a review for the commissioning party. This file therefore documents the session, from its design to its evaluation.
