Preparing and managing an event

The event kit structures the preparation and running of a professional event: task schedule, budget, running order for the day of the event and guest tracking. It thus brings together in a single workbook the information shared by management, work package leads and the production team.

What the event kit contains

  • A schedule: one line per task, linked to a work package, with owner, dates, dependency and calculated duration.
  • A budget excluding taxes: the planned amount results from the quantity and the unit price, then the variance compares planned and actual.
  • A minute-by-minute running order for the day of the event, with speakers, spaces and technical requirements.
  • Guest tracking: invitations, responses and seating.
  • Finally, a budget summary by work package, with a contingency provision and tax according to the configured rates.

When to use the event kit

The kit serves first to prepare a convention, a seminar, an inauguration or an institutional day. It also serves during the event, since the running order is circulated to the production team and the work package leads.

Its intended users include, in particular, communication departments, protocol services and organisers of professional events.

Instructions for use

The organiser first divides the event into work packages, then enters the tasks in the schedule. The organiser then costs the provisional budget and tracks committed and actual amounts. In addition, the running order is drafted as the programme is finalised. Finally, the budget summary by work package shows variances before and after the event.

Expected outcome

The outcome is a shared calendar, a budget tracked from commitment to actual, a running order for the day of the event and an up-to-date guest list. In addition, the event kit keeps a usable record for the next event.

The personal data of guests are limited to what is necessary and deleted after the event, unless consent to retention is given. They are processed in accordance with Law No. 09-08 and, where applicable, Regulation (EU) 2016/679; guests are informed of this when invited. The kit therefore remains a management support tool, to be adapted to the organisation and to the applicable regulations.
