Consultation on AI use in business: framing tools and data

The consultation frames AI use in business, but also within associations and public bodies. It takes the form of a written note or a 60-minute videoconference. The deliverable lists the uses, the data concerned, the gaps identified and the priority rules. As for timing, the note is delivered 5 working days after receipt of the complete information. The videoconference slot, for its part, is set at least 7 days after booking (priority slot possible within 5 working days), from Tuesday to Thursday.

Situations relating to AI use in business

  • Staff use generative AI through personal accounts, without any internal rule.
  • Consumer offerings are used to process documents containing confidential information.
  • Personal data appear in the prompts entered, without prior review.
  • Generated outputs circulate outside the organisation without verification.
  • Management is considering authorising certain tools, but does not know the training, retention and location conditions of the offerings.

Process

  1. The collection first covers current and planned uses of AI, as well as the tools used. This stage takes place asynchronously, based on the information transmitted.
  2. Next, ASKonsult qualifies the data entered. The analysis distinguishes personal data within the meaning of Law No. 09-08 from confidential information.
  3. The review then covers the terms of the offerings used, according to grid P-42. It examines three points: training, retention and location.
  4. The analysis then identifies the priority rules. These concern the authorised tools, the excluded data and the level of verification of outputs.
  5. Finally, the findings are delivered in a written note, transmitted asynchronously, or in a synchronous 60-minute videoconference.

Deliverable

The deliverable consists of a framing note or, for the videoconference, a session record. It first lists the instances of AI use in business observed during the collection. It then specifies the data concerned and the gaps identified with regard to the terms of the offerings. Finally, it ranks the priority rules to be set. The note is delivered 5 working days after receipt of the complete information. Before any delivery, ASKonsult submits the document to a final review.

Prerequisites

The consultation relies on the list of AI tools used and of the offerings subscribed to. It also requires a description of the tasks concerned. Existing internal rules supplement these elements, even when they remain partial. The client transmits these documents via the secure space and is responsible for their accuracy.

Frequently asked questions

What is the difference between the note and the videoconference?

The framing note provides a written document, useful for preparing a management decision on authorised tools. The 60-minute videoconference, by contrast, favours direct discussion of the uses observed. It gives rise to a session record. In both cases, the content covers the uses identified, the data concerned, the gaps identified and the priority rules.

Within what timeframe does the consultation take place?

The note is delivered 5 working days after receipt of the complete information. For the videoconference, the slot is set at least 7 days after booking (priority slot possible within 5 working days) after receipt of the information, from Tuesday to Thursday. These timeframes are indicative and run from receipt of a complete file. Furthermore, an admissibility check precedes any engagement, in order to rule out requests outside the scope.

Does the consultation produce an AI use charter?

No. The consultation identifies the priority rules to be set, without drafting the use charter or the register of uses. This drafting falls under the AI maturity assessment and governance package (K-22). The AI governance intake form (CV-22) prepares this work. The framing note on AI use in business is thus a first step.

What role does the interactive assistance play?

Interactive assistance (IA-05) can support the completion of grid P-42. It explains the sections and criteria, rephrases the questions and checks the completeness of the answers. However, the assistance gives no opinion and does not qualify any particular situation. The deliverable results from ASKonsult’s analysis, after human review and validation.

What is the scope of the deliverable?

The deliverable informs the decision without replacing it. The consultation is indeed a obligation of means and carries no guarantee of results. The client remains the sole decision-maker regarding the follow-up. Furthermore, the client uses the deliverable for its own needs, while ASKonsult retains ownership of its methods and know-how.

How does ASKonsult handle the elements transmitted?

ASKonsult treats the information and documents transmitted by the client as confidential. Exchanges take place exclusively via the secure space and serve solely the purposes of the consultation. Furthermore, this confidentiality obligation survives the end of the relationship. The client, for its part, is responsible for the accuracy and completeness of the information it transmits.

What comes after the consultation?

When the framing of AI use in business calls for structured work, package K-22 takes over. The Steering (A-02) and Institutions and Territories (A-04) subscriptions provide regular support. In addition, the information systems consultation (C-05) and the e-commerce website and digital presence consultation (C-04) address related subjects. Finally, the assistant for the supervised configuration of an internal assistant (IA-07) and the interactive training on generative AI at work (IA-08) complete the offering.

Out of scope

The consultation does not include drafting the use charter or the register of uses, which fall under package K-22. It also excludes the configuration of AI tools and technical security audits. Furthermore, filing a declaration with the National Commission for the Control of Personal Data Protection (CNDP) falls outside its scope. The consultation thus focuses on identifying uses, qualifying data and setting priority rules.
